This Privacy Policy explains how FleetHunter collects, uses, stores and protects
personal data when you use our website, contact us, submit an application or complete an assessment.

Scope

This Privacy Policy applies when you:

  • visit fleethunter.eu;
  • contact FleetHunter;
  • submit an application or CV;
  • apply for a maritime security opportunity;
  • complete an English-language assessment;
  • participate in screening, an interview or a business discussion;
  • communicate with us through email, telephone, WhatsApp, LinkedIn or another agreed channel;
  • represent a client, partner, contractor or service provider.

Third-party websites and communication platforms may process information under their own privacy policies.

Personal Data We Process

The information we process depends on how you interact with FleetHunter.

Website and Technical Information

This may include your IP address, browser and device information, access time, security information, form-submission metadata and technical logs.

Contact and Business Information

This may include your name, email address, telephone number, organisation, professional role, enquiry, correspondence and information provided during professional discussions.

Candidate Information

This may include your name, contact details, country of residence, CV, professional background, experience, self-declared English level, qualification and certificate status, availability, vessel preference, motivation, application answers and relevant screening or interview notes.

At the initial application stage, FleetHunter does not normally request passport copies, certificate files, medical records or detailed health information. Additional evidence may be requested later where necessary for a defined opportunity.

English-Assessment Information

This may include written answers, recorded spoken answers, transcripts, language indicators, an indicative CEFR estimate, reviewer notes and assessment-security information.

Ordinary telephone calls, WhatsApp calls, video calls and interviews are not recorded.

Information From Other Sources

Where lawful and relevant, we may receive professional information from clients, business partners, authorised references, training or certification organisations and publicly available professional profiles.

Please do not provide personal information that is unrelated to your application or enquiry.

We process personal data for the purposes and on the legal bases shown below.

Where we rely on consent, you may withdraw it at any time without affecting processing already completed lawfully.

Providing personal data is voluntary, but we may be unable to review an application or respond to a request where necessary information is not provided.

Candidate Applications

Submitting an application does not guarantee contact, referral, selection, employment, engagement, training or deployment.

FleetHunter may consider your information for the opportunity for which you applied or, where you submit a general application, for suitable opportunities within its stated scope and retention period.

Where separate consent is required to retain or use your information for future opportunities, that consent will be optional and may be withdrawn at any time.

For a defined opportunity, limited candidate information may be provided to an appropriate maritime operator, private maritime security company or other authorised organisation.

Only information reasonably necessary for that opportunity will be disclosed. The receiving organisation may process it as an independent controller under its own privacy notice.

English-Language Assessment and Automated Assistance

Invited candidates may be asked to submit written responses and recorded spoken answers through an assessment environment integrated into fleethunter.eu.

A separate notice will be presented before microphone recording begins.

Authorised automated tools may assist with:

  • speech-to-text transcription;
  • language analysis;
  • preparation of an indicative CEFR estimate;
  • organisation of assessment information.

Automated outputs are supporting indicators and may be reviewed, corrected or disregarded by an authorised human reviewer.

FleetHunter does not make final candidate selection, employment, engagement or deployment decisions solely on the basis of automated assessment results.

Assessment audio is not used for:

  • biometric identification or voiceprint creation;
  • emotion recognition;
  • lie detection;
  • psychological profiling;
  • inference of sensitive personal characteristics.

You may contact privacy@fleethunter.eu to report a technical issue or request human review of an assessment-related result.

Sharing Personal Data

FleetHunter may share personal data with authorised categories of recipients, including:

  • website-hosting and online-form providers;
  • email and communication providers;
  • candidate-administration and workflow providers;
  • storage, cybersecurity and technical-support providers;
  • authorised transcription and AI-service providers;
  • maritime operators and private maritime security companies;
  • legal, accounting and other professional advisers;
  • public authorities where disclosure is legally required.

Providers processing information on our behalf are required to apply appropriate contractual, confidentiality and security safeguards.

FleetHunter does not sell or rent applications, CVs, assessment recordings or contact details for advertising or data-broker purposes.

International Transfers

Some authorised providers or maritime organisations may process personal data outside the European Economic Area.

Where required, FleetHunter will use an appropriate transfer safeguard, such as:

  • a European Commission adequacy decision;
  • Standard Contractual Clauses;
  • another transfer mechanism permitted under applicable data-protection law.

You may contact privacy@fleethunter.eu for information about safeguards applicable to a particular transfer.

Data Retention

FleetHunter retains personal data only for as long as necessary for the relevant purpose.

Information may be deleted earlier where it is no longer required.

Limited information may be retained longer where necessary for an active process, complaint, investigation, legal obligation or legal claim.

Your Rights

Depending on the circumstances, you may have the right to:

  • access your personal data and receive a copy;
  • correct inaccurate information;
  • request deletion;
  • restrict processing;
  • object to processing based on legitimate interests;
  • receive portable data where applicable;
  • withdraw consent;
  • request human review of relevant automated processing;
  • lodge a complaint with a supervisory authority.

We may request information necessary to verify your identity.

These rights may be limited where continued processing is required by law or necessary for legal claims.

You may lodge a complaint with the President of the Personal Data Protection Office — UODO in Poland.

Security

FleetHunter applies appropriate technical and organisational measures intended to protect personal data against unauthorised access, unlawful disclosure, accidental loss, alteration or destruction.

Access is limited to persons and providers who require the information for an authorised purpose.

No internet-based system can be guaranteed to be completely secure.

Cookies and Similar Technologies

FleetHunter uses only cookies or similar technologies necessary for:

  • website security and operation;
  • administrator authentication;
  • form submission and spam prevention;
  • maintaining an assessment session where technically required.

These technologies are not used for advertising, cross-site tracking or behavioural profiling.

FleetHunter does not currently use analytics or marketing cookies.

If non-essential technologies are introduced, they will not be activated without prior consent where consent is legally required.

You may control or delete cookies through your browser settings. Disabling necessary technologies may prevent parts of the website from operating correctly.

Changes to This Policy

FleetHunter may update this Policy where its services, legal obligations or personal-data practices change.

The current version will be published on fleethunter.eu with its latest revision date.
